An Administrative Assistant Coordination

Place of employment: Yaoundé with travel in the field
Type of contract: CDD of 12 months renewable according to funding

 

 

 

I. Presentation of the organization

Solidarités International is a French humanitarian organization present in Cameroon since July 2014. Since 2014, the mission has been carrying out several emergency and post-emergency programs in the East and Far North regions. After a first base opened in Garoua Boulaï in 2014 to respond to the Central African crisis and the massive arrival of CAR refugees in the region, then in Makary in early 2017 to respond to the crisis in the Lake Chad basin, SI opened in October 2017 a base in Mokolo, then Maroua in order to meet the basic needs of vulnerable populations in the border areas of the Mayo Tsanaga department. Thus in Cameroon, Solidarités International operates in the areas of Water, Hygiene and Sanitation (WASH) and Food Security and Livelihoods (SAME).

 

 

 

II. Responsibilities and job description

The administrative assistant supports the administrator in processing accounting and financial transactions, as well as in all tasks and procedures related to Human Resources. He (she) will have the following main responsibilities:

Administrative management of staff:
• Welcome and participate in the administrative briefing of new staff
• Assist the administrator for the administrative management of recruitment and hiring
• Participate in the practical organization of training
• Ensure the archiving and follow-up of individual files and issue all documents relating to the professional life of Solidarités International employees
• Ensure the confidentiality of HR data
• Participate in the monitoring of employment contracts on the base
• Identify the elements allowing the establishment of the payroll and integrate them into the GRH software
• Edit the payslips and supervise the payment of salaries after validation by the administrator
• Calculate taxes and duties and make declarations and payments to the organizations concerned
• Keep the organization chart of the base up to date
• Assist the administrator in organizing and conducting meetings with staff representatives
• Participate in the definition and application of salary and social policies Solidarités International
• Monitor the evolution of the cost of living

 

 

 

Team management
• Train and support the members of the administrative team under his supervision
• Ensure the minimum replacement of the members of the administrative service in the event of absence (holidays, illness, etc.)

Cash flow / accounting / management
• Supervise the physical and the security of the funds
• Prepare the monthly closing, the revision and the integration of the accounting of its base
• Edit the vouchers, supervise the archiving of the supporting documents
• Participate in the work of audits or possible controls carried out by the partners or the headquarters, at its base level
• Follow the payment schedules for the contracts managed by the administrator
• Prepare the sending of administrative archives in coordination
• Establish the state of liquidity needs in consultation with the administrator
• Perform disbursements and payment of advances, in accordance with established procedures
• Keep the advances book and the journal
• Record budget allocations and accounting codes
• Check before recording that the supporting documents comply with Solidarités International procedures
• Ensure the translation of accounting documents if necessary
• Exchange currencies at the request of their line manager • Check cash
balances daily and report any discrepancies to their line manager
• Archive the accounting documents according to the Solidarity procedure after a final check of the supporting documents
• Guarantee the security of its cash register and the confidentiality of the information

Reporting / communication:
• Participate in the monitoring of the regulations in force
• Help the administrator in relations with the administrative authorities

III. Profile sought

KEY SKILLS
• Level: Bac + 3 in accounting, finance and/or management.
• Minimum experience of 12 months as an administrative assistant (finance, accounting and human resources) within an international organization;
• Experience within the coordination of an INGO would be an asset;
• Good knowledge of office software mainly Word, Outlook, Excel;
• Knowledge of accounting and payroll processing software SAGA and HOMERE required;
• Excellent communication skills in French;
• Knowledge of English would be an asset
• Very good writing and reporting skills;

o Diplomat and good communicator, autonomy, independence, initiative,
o Organizational skills (important) at the level of coordination
o Open-mindedness, rigor, dynamism, responsiveness
