Job title : MD’s PERSONAL ASSISTANT

Job Objectives
This position will oversee the provision of advisory and support services to the Managing Director (MD) consistent with best market practice and in line with the bank’s overall strategy. The position will also oversee the smooth running of the Executive Office through the handling of all Administrative issues for the MD.
Role & Responsibilities
▪ Scheduling and managing the MD’s day-to-day activities and appointments while prioritizing and coordinating the MD’s correspondence and visitors.
▪ Draft responses for correspondence for MD’s signature.
▪ Vetting function invitations received for MD for suitability and appropriateness.
▪ Orderly safekeeping of physical and electronic records, files and mail for the MD
▪ Analyzing all reports received from various departments and commenting and providing advice to the MD on the appropriate action
▪ Collaborating on the various projects MD is involved in and providing him with a status update on the same
▪ Manage all administrative support services and develop and maintain office systems that ensure the smooth running of the MD’s office at all times
▪ Institute and follow up on payment instructions for the Executive Office
▪ Follow up on memo’s originating from the Division/directorate and send to other units for approval
▪ Taking internal and external calls / messages on behalf of the Managing Director/CEO
▪ Carryout Ad hoc assignments as assigned by the Managing Director/CEO
▪ Provide support to all units under the division with respect as required
▪ Acknowledging, sorting, reviewing and dissemination of both internal and external correspondence sent to the division / treating as appropriate

- ▪ Timeliness at performing assigned tasks
- ▪ Effectiveness at carrying out assigned tasks
- ▪ Efficiency at carrying out assigned tasks
- ▪ Departmental budgetary spend of not more than 80% per year
- ▪ Additional KPIs as captured on Info pool

EDUCATION REQUIREMENTS
Minimum of Bachelors Degree and/or Professional Qualification in Banking related disciplines
EXPERIENCE
Minimum experience – One to Two years cognate experience
