IS LOOKING FOR A SECRETARY/LOGISTICS SUPPORT

Abroad, the EU is represented by more than 140 diplomatic representations, also known as EU Delegations, which have a function similar to that of an embassy.
We offer
We offer a position of Secretary/Logistics Support. As part of this job, the recruited person will be assigned functions which will depend on the needs of the delegation. The successful candidate will occupy a specific position as Secretary/Logistics Support; the function can be modified according to the needs of the Delegation. As part of this function, the successful candidate will serve as technical and support staff to the Head of Administration, whose main tasks and responsibilities will be: General · Support
in
the management of the logistics of all accommodation, offices and Residence ( contracts, amendments, termination, etc.)
· Support for managing the rental payment schedule (Excel table, reminder, etc.)
· Support for managing housing agreements (from draft to signature)
· Support for managing security housing (guards/vigils, etc.)
· Support for managing AOs relating to the real estate portfolio
· Assistance in contacts with service providers and owners of the real estate portfolio
· Archiving and classification of logistical documents
· Support for managing documents/mail
· Support to manage and record logistics mail in ARES
Purchasing
· Assistance in the issuance and monitoring of purchase orders linked to the real estate portfolio
· Assistance in the issuance and monitoring of purchase orders for the real estate portfolio (inventoried assets) ABAC Assets
· Regularly (daily) travel to the site to observe damage or other
· Be able to carry out minor repairs (tightening nuts, etc.)
Offices
· Assistance in supervising maintenance of offices and ancillary services
· Assistance in management movable/furniture assets (maintenance and inventory)
Expatriate housing
· Assistance in the management of housing files
· Assistance in the management of real estate contracts in IMMOGEST
· Assistance in the management of movable assets (maintenance and inventory) – ABAC ASSETS
Conditions of employment:
· A local agent position (AL), level 3 – AL3
· Starting base salary (gross): 890,028.00 XAF
· We offer a competitive position in an international work environment, based in Yaoundé .
· 37.5 hours of work per week.
· Other benefits such as a supplementary pension plan and medical insurance for employees and their families are offered under certain conditions.
Selection criteria
Minimum requirements:
· be medically fit to perform the required functions;
· enjoy civil rights and possess work permits in accordance with local legislation;
· Studies and training:
o Level of university education (Bachelor/BAC+3) or equivalent in professional experience
· Professional experience:
o Minimum of 3 years of experience in a logistician position and other fields such as logistics management real estate and furniture, storage
· Language knowledge
o According to criteria: http://europass.cedefop.europa.eu/sites/default/files/cefr-en.pdf;
o Perfect oral and written mastery of French (minimum C1 level) and;
o Good command of English (minimum: level B2 spoken and B1 written),
· Knowledge of IT tools
o High level of IT knowledge (Word, Excel, PowerPoint, Outlook, Internet)
The following points will be considered an asset:
· Minimum of 3 years of experience in an embassy or international organization
· Ability to work in a multicultural environment, and demonstrating interpersonal, cordial and professional communication skills.
· Very good communication (written or oral) with internal and external contacts.
· High degree of confidentiality, rigor and accountability when processing EU-related information.
· Ability to set priorities, undertake tasks, under pressure, with minimal error, while responding quickly to requests.
· Sense of autonomy, organization and initiative.
· Available to work outside of business hours in case of emergency.

The application must contain the following elements:

· Copy of employment certificates relating to professional experience;
· Two references at least (structures, surnames, first names, functions, telephone number and e-mail address) to which the Delegation of the European Union may contact when examining applications.
The procedure
After the deadline for submitting applications has expired, they will be examined by a selection committee set up for this purpose.
1. The selection committee will establish a shortlist of candidates deemed most suitable for the position, based on criteria provided in the vacancy notice and the job description (“Selection Criteria” above).
2. Pre-selected candidates (a maximum of 15 candidates with the highest score on the pre-selection criteria) will be invited to participate in a written test.
3. At the end of this stage, the best candidates (a maximum of 3 candidates having obtained the best results in the written test) will be invited to participate in an interview.
At this stage, the selection committee will assess the candidates’ suitability for the position.
