CALL FOR APPLICATIONS FOR THE RECRUITMENT OF AN ADMINISTRATIVE ASSISTANT FOR THE EPIC/GLOBAL FUND PROJECT

Background and Rationale

The Cameroonian Association for Social Marketing (ACMS) is a non-governmental organization under Cameroonian law and a member of the Network of Population Services International (PSI) since 1996. ACMS is recognized as being one of the main actors in Cameroon in the prevention of HIV/AIDS and family planning promotion through social marketing and behavior change communication. ACMS is a complex organization with multiple projects and donors and a wide range of products and services, including a social franchising project with 372 clinics within the network.

 



 

ACMS, through its technical partner PSI, has secured funding to support the Cameroon Ministry of Health and other COVID-19 stakeholders, in the implementation of specific activities of the National COVID Vaccination Plan . This support will primarily focus on community engagement and COVID-19 vaccine demand, as well as the roll-out of COVID-19 vaccination awareness activities, including outreach vaccination and mass campaigns.

 




In order to guarantee the full success of this mission, ACMS is looking for a dynamic and motivated Administrative Assistant who will be able to fully lead this project and meet the requirements of donors.

Job Description

Under the supervision of the Technical Assistant, the Administrative Assistant will be responsible for organizing and coordinating a time and information management system at the EPIC/Global Fund project level; to rigorously hold the secretariat of the Technical Assistant with efficiency in order to contribute to achieving the strategic objectives of the project. His responsibilities will be:

R1: TAKING CHARGE OF THE ADMINISTRATIVE ASPECTS OF THE PROJECT

Assist the Technical Assistant in carrying out his tasks (making appointments, organizing meetings, welcoming visitors, travel, travel);
Organize meetings and various activities (conferences, meetings, workshops, etc.) at the initiative of the Technical Assistant;
Organize weekly, periodic meetings with staff or with partners;
Coordinate the public relations of the EPIC Project / Global Fund with the partners of the said project;
Provide administrative support to the staff of the region according to the needs expressed in the execution of various works.
R2: ENSURE THE CIRCULATION OF INFORMATION AND COMMUNICATE WITH ACMS SERVICES AND PARTNERS

Follow up on mail and update the register of mail received and sent;
Receive and send to the recipients the various documents received;
Record and classify the various documents received;
Perform electronic archiving of documents and files.
R3: PERFORM PROJECT SECRETARIAT TASKS

Write notes or correspondence based on oral and handwritten instructions;
Perform secretarial work (telephone management, reception, processing and recording of correspondence, drafting of official notes, Ets);
Ensure the dissemination of information internally (internal memos, memos, etc.) and externally;
Supervise the receptionist to ensure that the tasks for which he is responsible are carried out in accordance with expectations (circulation of mail, cleanliness of premises, reprography, etc.).
R3: ENSURE THE REPORTING WORK

Contribute to the drafting of the various monthly, quarterly and annual reports of the project;
Provide logistical support for the organization of seminars and training workshops;
Prepare the minutes of the meetings held with the various partners;
Perform any other task under his responsibility or which may be entrusted to him by the hierarchy.

Qualifications and professional experience required
Hold a BACC+2 in Executive Secretariat, Bilingual Office Secretariat.

Two (2) years of experience as an Administrative and/or Management Assistant or any other related position.

Additional skills required:

Have a strong sense of initiative and autonomy;
Have a good ability to communicate, organize and work within deadlines;
Have proven experience in organizing events;
Fluent in French or English and have sufficient command of the other language;
Have a good command of computers and software (Word, Power Point, Excel);
Be familiar with social marketing or NGOs.
Have good public relations skills;
Be honest, and demonstrate a commitment and ability to work in harmony with people of diverse backgrounds and cultures;
To be able to demonstrate skills for the management of human relations, communication and the development of individuals;
A capacity for analytical and strategic thinking, and a capacity for results-based management;
A structured mind and a good capacity for oral and written expression;
A willingness to work under pressure and to question oneself.

Professional experience required in substitution of the diploma

Five (05) years of relevant experience in Executive Secretariat, Bilingual Office Secretariat.
