THE POST
Under the direct supervision of the Finance Manager, the finance assistant is responsible for preparing payments (cash, bank check and bank transfer) from suppliers as well as professional advances from DRC employees. He/she manages the cash register during its opening hours. He/she records the cash and bank movements on a daily basis in Dynamics and attaches the accounting supporting documents. He/she ensures the archiving of accounting documents and actively participates in the preparation of financial audits.
TASKS AND RESPONSIBILITIES
- Payment and cash management:
- Receipt and verification of payment files; ensure that files comply with DRC procedures;
- Complete the payment request and have it signed by the people concerned;
- Prepare transfer orders and bank checks and have them signed;
- Ensure proper management of the cash register (weekly cash account, various payments according to DRC rules; supply requests, etc.)
- Ensure all payments via the bank are made on time and carry out bank reconciliations at the end of the month;
- Complete payment requests for all cash payments from suppliers and have them signed by the budget manager;
- Anticipate cash payments from suppliers during the bank’s opening hours. Participate in the preparation of bank supply requests;
- Prepare cash replenishment requests to ensure that the balance is always sufficient to cover expenses
- Communicate any suspicious and/or non-compliant expenses with DRC accounting and financial procedures
- Accounting entry in Dynamics
- Enter daily cash register and bank movements in Dynamics
- Perform scans of all financial documents justifying cash and bank movements
- Perform daily reconciliation of cash inventory and balance in Dynamics
- Upload (attach) financial documents daily in Dynamics
- Ensure the transmission of accounting data on time;
- Archiving of accounting documents and preparation for financial audits
- Ensure proper daily archiving (digital and physical) of accounting documents and administrative files and ensure that they meet DRC requirements criteria.
- Archive all accounting documents using the Dynamics Voucher number
- Preparation of all accounting documents requested by the auditors;
- Make an initial check of these accounting documents and communicate any problems to the Finance Manager
- Administrative support in the management of administrative documents (mail, staff residence requests, etc.).
KEY REQUIREMENTS
- Qualifications and experience
- Bac + 2 minimum in the fields of accounting, finance or management.
- Experience of at least two years in the field of cash management, accounting and others…;
- Experience within an international NGO would be an asset;
- Proficiency in Microsoft (Word, Excel, etc.);
- Have very good communication skills, be flexible and able to work under pressure
- Have good classification skills

- Rigorous, honest, organized and discreet;
- Good team spirit;
- Be able to work under pressure;
- Proactive and solution-oriented;
- Strong understanding of humanitarian engagement.
- Good attention to detail.
- LANGUAGES
- Mastery of spoken and written French.
- Intermediate level of English.
