KEY INTERVENTIONS TO DEVELOP SYSTEMS AND SERVICES FOR ORPHANS AND VULNERABLE CHILDREN.

                         As part of carrying out its missions and implementing the activities of the KIDSS project (key interventions to develop system and services to orphans and vulnerable children),   financed   by the presidential emergency aid plan for the fight against le SIDA (PEPFAR), through the United States Agency for International Development and executed by the National Episcopal Conference of Cameroon/Catholic relief services , the KIDSS project of the Diocese of Bafia is currently recruiting a Dynamic and competent Administrative Officer for service needs. This must be qualified, experienced and able to work for the KIDSS project.

Background  :

Funded by the President’s Emergency Plan for AIDS Relief (PEPFAR) and through the United States Agency for International Development, Catholic Relief Services (CRS) implements key interventions to develop systems and services for orphans and vulnerable people (KIDSS). The project addresses the challenges of caring for and supporting orphans and vulnerable children (OVC) by building the capacity of the Government of the Republic of Cameroon, civil society, communities and households to provide care and support. quality support to children infected and affected by HIV in Cameroon. KIDSS works in partnership with 28 local implementing organizations, the government of Cameroon and other stakeholders to reach OVC and their families in 40 health districts spread over the ten regions of Cameroon. The program includes prevention, loss-to-follow-up tracing and adherence support activities for OVC, as well as ensuring community support for linkages to care and retention of children and adolescents living with HIV.

 To strengthen the resilience of families infected or affected by HIV the KIDSS strategy is centered on a case management approach in which families and OVC receive services based on an individualized assessment of needs and the development of case plans. . Case plans are implemented through multi-level service delivery, monitoring, and the purpose of the case plan is to assess to prepare for the discharge of a family that has achieved resilience i.e. say the achievement of the case plan.

 




 

Job summary:

He/she assists the Project Coordinator with office administration and management functions.

Responsibilities in KIDSS:

 

  • Property and equipment management
  • Supervise the use and maintenance of office equipment, including photocopier, fax and binder, to ensure they are working and arrange for their repair and maintenance as required.
  • Ensure the proper functioning of building/office utilities such as electricity, water and the proper functioning of telephone lines.
  • Manage the security and safety of the building and property, and the cleaning of the building.
  • Systematically maintains inventories of all equipment and supplies in accordance with donor regulations and/or organization policies and procedures.

  • Administration

 

 




 

 

o    Participate in the organization of meetings and trainings, take notes and prepare minutes of meetings during internal and external meetings.

o    Produce a package of documents, including quality letters/emails/memos and presentations, on time.

o    Supervise acquisitions to ensure the separation of functions and the existence of appropriate documents for each stage.

o    Ensure that staff know, understand and execute donor rules and procedures while providing project services

o    Monitor the overall improvement of the organization, based on the results of the audit, the recommendations of the evaluation and the comments from the feedback forms.

o    Identify the risks surrounding the project and the appropriate measures to deal with them

  • Execute spot and scheduled checks on overall project management and documentation, analyze results and propose improvement measures.

  • Human ressources

o    Process documentation and prepare reports on staff activities (staffing, recruitment, training, complaints, performance reviews, etc.)

o    Respond to employee inquiries regarding HR issues, rules and regulations.

o    Process payroll preparation

 

Profile and experience required:

Education and experience

  • BTS in management or administration or other related training
  • At least two years of administrative experience, preferably with a local or local NGO or financial/banking institution.
  • Proficiency in Excel and experience in Word

  • Strong planning and administrative skills
  • Strong organizational and time management skills
  • High quality written and oral communication ability
  • Team spirit / Decisiveness.
