Administrative Assistant Job Description

We are looking for a motivated multi-tasker with excellent communication skills and an upbeat attitude. The candidate must be able to assist management and all visitors to the company by attending to office duties, providing polite and professional assistance by telephone, mail and e-mail, making reservations or travel arrangements, and generally being a helpful and positive presence on the line of work. .

 

 

 

To succeed as an administrative assistant, the candidate must be professional, polite and attentive while being precise. She must always be prepared and responsive, ready to face every challenge directly. The Administrative Assistant must be comfortable with computers, smartphones, general office tasks and excel in verbal and written communication. Most importantly, the assistant admin must have a genuine desire to meet the needs of others.

Responsibilities of the assistant

Administrator:

Manage office tasks, such as filing, generating reports and presentations, preparing for meetings, and ordering supplies.

Welcome and assist visitors on site and online.

Maintain polite and professional communication by phone, email and mail.

Perform administrative tasks to ensure the functionality of marketing activities.

Ensure the monthly tax return

 

 

Management of the social network page:

Using online marketing analytics to gather information from web pages and social media.

Write and publish online content for the company’s social media page.

Writing marketing materials for corporate brochures and press releases.

Build strong relationships with clients.

Administrative Assistant Requirements:

Bac+ 2 in Admin and Finance, Communication and Media, Management or in a related field

Certification in IT or office automation would be an asset

Excellent computer skills, especially typing.

Attention to detail.

Multilingual may be preferred or required. (English, French and Fulbe )

Desire to be proactive and create a positive experience for others.

Thorough knowledge of marketing techniques and databases.

Proficiency in MS Office and marketing software, video conferencing (ZOOM, TEAMS, Goolge Meet is an asset

Good master of the Facebook platform,

Understanding of administration and marketing principles

Ability to multi-task and meet strict deadlines.

Excellent communication, writing and interpersonal skills.

Good understanding of office management.

Ability to follow instructions and work independently and remotely
