The Cameroonian Association for Social Marketing (ACMS) is a non-
governmental organization under Cameroonian law whose main mission is to improve
sustainable and measurable way the social situation of the Cameroonian population and to
promote health. Thus, ACMS works in cooperation with the government and its
partners in the public and private sectors to deliver high-quality health programs
, reaching all populations in need. For more than twenty-five years,
ACMS has been providing the Cameroonian population with
comprehensive and evidence-based public health interventions, including programs in reproductive health
, malaria and HIV prevention among others.

The Cameroonian Association for Social Marketing (ACMS) is seeking candidates
for the position of Administrative Assistant (M/F).
Who are we recruiting?
The Administrative Assistant will work under the supervision of the Regional
Project Coordinator with the main responsibilities of:
Essential functions:
1. Provide support in the administrative management of the project;
2. Draft administrative correspondence;
3. Ensure the circulation of official mail;
4. Carry out the recording and classification of the various mail received;
5. Support and monitor all project purchases;
6. Provide logistical support for the organization of
project seminars and workshops;
7. Receive travel advance requests and supporting documents for
activity expenses to submit them for signature;
8. Ensure the flow of information, communicate with ACMS departments
and external partners;
9. Ensure that all bidding suppliers are approved by ACMS;
10. Develop and regularly update procurement plans
in accordance with ACMS and lessor requirements;
11. Ensure that all purchase requests received are complete and
properly approved; 12.
Promptly prepare consultation documents (notice of expression
of interest, request for quotations, tender documents, request for
proposal, etc.) in accordance with applicable procedures;
13. Prepare, organize and coordinate bid opening and evaluation sessions
;
14. Prepare letters or purchase orders on behalf of the
selected supplier(s), ensuring, where necessary, correct allocation of project codes and
lines;
15. Ensure compliance with the lessor’s requirements regarding the
procurement procedure and local legislation;
16. Maintain an appropriate classification of all
procurement documents on the project and ensure that the supports are
available and accessible as needed;
17. Participate in updating the list of suppliers and service providers in
collaboration with the members of the purchasing committee in accordance with the
procedures in force;
18. Maintain and update electronic files of equipment, materials and
the automobile and motorcycle fleet;
19. Maintain inventory records of offices and materials made available
to employees;
20. Carry out any other task related to the activities that will be assigned to you by the
hierarchy.
Qualifications and skills required:
1. University degree: BAC + 2 in Administration, Executive Secretariat or
equivalent diploma;
2. Have professional experience of at least three (03) years in
executive secretarial work, administrative management, procurement/purchasing management,
supply management or equivalent in a
large development organization, NGO, project or company;
3. Proven ability to convert complex outputs into easily
understandable and digestible information;
4. Fluency in French and excellent writing skills in French;
English skills highly desirable;
5. Ability to gather and integrate feedback from multiple stakeholders;
6. Experience and excellence in working with the
Cameroon Ministry of Health and other community partners;
What would interest us?
Fluency in French and/or English and have sufficient command of the other
language;
Have strong skills and experience in all aspects of designing
and developing administrative documents, implementing, monitoring
activities;
Ability to work under high pressure.
