Location: Yaoundé
The Rural Development Cluster (CDR) is made up of several projects in the rural sector that
plan to improve agriculture and livestock systems in specific areas in Cameroon. The target group of projects varies between producers, processors, agricultural field schools, small and medium-sized enterprises (SMEs), ministries and others. The Yaoundé-based incumbent will allocate 40% of his/her time to the ABC-PADER program co-funded by the European Union (EU) (including 100% for the co-financed action) and 60% of his/her time to other RDC projects (ProCISA, ProFINA, ProCOTON, PPOH).
RESPONSIBILITIES
Under the supervision of the Administrative and Financial Manager, the incumbent is responsible for
the following duties:
- Ensure compliance with GIZ procedures in the areas in charge;
- Ensure effective communication with antenna teams;
- Establish various correspondence (memoranda, official letters, minutes, request for services/purchases, mission orders, etc.);
- Perform daily reception services (neat waiting area) and secretarial services;
- Seamlessly manage incoming and outgoing calls;
- Represent the program in a satisfaction-oriented manner;
POWERS
- Regularly record, document and organize incoming and outgoing mail;
- Identify files in accordance with GIZ classification rules;
- Organize and assemble information materials;
- Photocopy and scan documents as needed;
- Prepare briefing notes and publish them at the request of management;
- Assist with documentation of workshops, meetings and minutes;
- Answer the phone, process, resume or forward calls and messages;
- Sort and distribute incoming mail (e-mail messages, other official documents);
- Manage the maintenance of ABC-PADER, ProFINA and ProCoton inventories;
- Maintain an up-to-date leave planning file within the Cluster;
- Enter monthly CSH (Corporate Sustainable Handprint) data for subsequent completion of HSC files for Headquarters;
- Report damage to the hierarchy;
- Maintain a list of numbers to call back for all incoming calls that the employees concerned could not answer directly;
- Use the answering machine appropriately;
- Ensure availability of magazines/newspapers/leaflets. etc;
- Ensure the establishment or regular updating of a telephone and email contact directory);
- Ensure the comfort of visitors by offering them newspapers, refreshments, etc.
- Undertakes other activities and duties as directed by his/her supervisor.

QUALIFICATIONS AND COMPETENCIES
- Bac+3 in Administrative Management
- Three years of professional experience, including one year in a similar position;
- Good command of organizational communication
- Good organizational skills in time and priority management;
- Very good use of information and communication technologies (corresponding software as well as telephone, fax, e-mail, Internet) as well as computer applications (such as MS Office)
- Fluent practice (oral and written) of the European vehicular language of the country (French and English);
- Ability to work under pressure.
Contract start date: 10.01.2023
Contract period: 2 years
Duty station: Yaoundé.
Internal classification of the position: Band 2A, under the hierarchical supervision of the Administrative and Financial
