Responsibilities
MISSION
Your main mission will be to assist the General Manager in all aspects related to his function in order to be more efficient in his daily management, to ensure the interface between all internal and external contacts with the General Manager. In this role, you will have to:
MAIN ACTIVITIES
Ensure administrative management
Prepare and write all correspondence from the General Manager;
Welcome, inform and direct visitors;
Receive, record and sort incoming mail and transmit essential files to the General Manager;
Receive and filter telephone calls to be transmitted to the General Manager;
Organize the agenda by making appointments;
Organize the travel and trips of the General Manager by making visa requests, hotel reservations, plane tickets and vehicle rental;
Carry out orders for equipment, supplies, consumables and verify the conformity of deliveries;
Manage the stock made available;
Follow up on the files he or she is aware of;
Ensure the daily maintenance of the general management premises.
Organize management meetings
Prepare the room for meetings;
Call the various participants by email or telephone;
Provide participants with the necessary equipment for holding the meeting;
Participate in certain meetings if possible;
Write and make the minutes available to participants.
Ensure the management of incoming mail
Receive and record all incoming mail;
Sort and forward essential mail to the general manager;
Archive mail;
Classify documents, information and documentary funds of an activity.
Manage the internal communication of the general management Manage the interface with suppliers, customers and other institutions; Manage the interface with the general manager’s collaborators. Educational requirements Bac +2/3: BTS or DUT Executive Assistant, Secretarial (Business and Administration Management), law or economics degree, professional master’s degree Experience required 5 years of experience in the position. Additional requirements CONSTRAINTS · Regular hours, with the possibility of flexibility depending on departmental obligations; · Compliance with obligations of discretion and confidentiality;
· Availability to the General Manager.
Technical skills
· Master all communication and office automation media: telephone, Word, Excel, PowerPoint, Internet and e-mails;
· Master IT tools (Spreadsheet, payroll software);
· Master both written French and written and spoken English;
· General knowledge of administrative management and secretarial techniques;
· Good writing skills;
· Knowledge of document scanning techniques.
