Responsibilities:
Agenda management and organization:
• Plan and manage the General Manager’s agenda.
• Make and confirm appointments, ensuring follow-up and coordination.




• Prepare and distribute invitations for meetings and other events.

Correspondence and communication management:
• Write, format and distribute letters, memos and presentations.
• Classify, archive and manage documents.
• Manage telephone calls, emails and incoming and outgoing mail
• Ensure internal and external communication with clients, partners and other stakeholders.
• Welcome and direct visitors, ensuring their comfort and the confidentiality of exchanges.
• Prepare confidential documents, reports, presentations and dashboards.
• Ensure the confidentiality of sensitive information.
• Take notes, write and follow up on reports for subsequent meetings.

Administrative support:
• Manage office supplies
• Organize travel for the General Manager (booking flights, accommodation)
• Ensure the follow-up of files and documents.
• Manage expense reports and reimbursements.




• Participate in specific projects or one-off tasks, as required by the General Manager.
• Ensure the cleanliness and organization of the General Manager’s office.
• Maintain a professional and confidential work environment.

Profile:
• Diploma in secretarial work, administrative management or a related field.
• Minimum of 3 years of experience as an Executive Secretary or in a similar role.
• Experience in a general management or senior management environment




Technical skills / Professional skills:
• Excellent administrative and organizational skills.
• Proficiency in office tools (Microsoft Office Suite).
• Excellent written and oral communication skills in French and/or English.
• Ability to work independently, in a team and under pressure
• Discretion, confidentiality and professionalism
• Proficiency in calendar management tools (Outlook, Google Calendar).
• Knowledge of filing and archiving techniques.
