EXECUTIVE ASSISTANT (F/M) – KPMG

Activities:
  • Answers, screens and directs telephone calls, takes messages and handles requests or questions;
  • Greets visitors and directs them to the appropriate contacts;
  • Opens, sorts and distributes incoming mail, including e-mails, and prepares responses to current requests;
  • Reads and analyzes incoming messages and proposals or reports, to assess their importance and define their mode of dissemination;
  • Prepares letters, reports, presentations and other documents from drafts, notes or dictaphone, using various computer software;

 

 

  • Classifies and extracts documents, correspondence, recording or reports, and sets up an archiving system;
  • Plans, sets appointments and updates agendas;
  • Arranges travel, itineraries, conferences, and attendance of executives at social events;
  • Prepares agendas and invitations to meetings (for example for management committees), participates in meetings and draws up the minutes;
  • Researches and synthesizes information;
  • Performs clerical duties such as ordering supplies, serving drinks, or reporting material incidents;
  • Supervises (sometimes) other administrative employees and delegates tasks to them;
  • Prepares then enters, often from dictated recordings, legal documents such as title deeds, affidavits, contracts, leases, injunctions, complaints, subpoenas, etc.;

 

 

  • Prepares letters or faxes, and ensures the distribution of legal correspondence;
  • Notes or types messages for internal use;
  • Attends trials, legal meetings or negotiations, such as client interviews, hearings and depositions, and takes notes or compiles a record of decisions;
  • Proofreads outgoing documents and correspondence to ensure that they comply with legal procedures and grammatical rules;
Profile:
  • Minimum Bac+ 3 in law or management or any other similar training.
  • Be at most 35 years old;
  • Rigorous, efficient, organized, know how to make proposals and initiative.
  • Endowed with good interpersonal skills and a developed sense of service allowing him to adapt easily to different interlocutors;
  • Excellent command of Microsoft (Word, Excel, Powerpoint…) and of the two official languages ​​(French and English).
