EXECUTIVE ASSISTANT – BHH SA
The EXECUTIVE ASSISTANT attached to General Management will have the main mission of contributing to the achievement of the tasks and steering missions of the Chairman and Managing Director in order to improve the organization of his activities; It is the relational interface, upstream and downstream, between the Chairman and CEO and the various internal and external contacts.
Activities
Executive secretariat and special assistance to the Director General:
- Organize the schedules and travel of the Director General;
- Management of your diary: making appointments according to priorities;
- Recall important information and transmit messages;
- Take notes and format all types of letters;
- Carry out the entry of documents of various forms and contents;
- Organize the classification and archiving of files;
- Plan and organize meetings and events (bodies, seminars, etc.): write reports, follow records of decisions and execution of assigned actions, prepare materials, ensure logistics;
Management and monitoring of files
- Collect the information necessary to monitor files to assist in decision-making and management;
- Design dashboards and/or monitoring tables;
- Instruct and monitor the director general’s files (notes, summaries, preparation of administrative acts, etc.);
- Participate in the management of the General Management budget (development, execution, monitoring);
- Internal and external communication;
- Manage certain internal communication actions and ensure the proper dissemination of information
- Concevoir, mettre à jour et diffuser les différents outils/supports de communication du directeur général (web, intranet, newsletter…) ;
Encadrement / coordination
- Carry out and coordinate specific operations of all or part of a project delegated by its manager;
- Management of expense reports;
- Monitoring the schedule of current projects;
- Interface with other Group entities, service providers, existing teams, customers, etc. ;
- Coordination of headquarters activities upon express delegation of power;
- Organization, coordination, supervision and monitoring of the activities of employees placed under his responsibility.
PROFILE
- Academic level: BTS Secretarial/Office Automation, Bachelor’s degree in literature or languages, other baccalaureate-type diplomas + 3;
- Additional training and/or qualification (asset): Secretarial and office automation training;
- Professional experience: 03 years minimum in a similar position;
TECHNICAL SKILLS
-
- Master secretarial and office automation tools;
- Know how to implement synthesis techniques (writing and analysis skills), as well as reporting (knowing how to report) and activity monitoring;
- Know how to implement the project management approach and tools (planning, coordination, etc.);
- Know how to anticipate your own deadlines and those of your line manager;
- Know how to deal with emergencies and identify priorities;
- Master written and oral communication techniques.
- You enjoy working in a team and are resistant to stress.
- Your responsiveness, your availability, will allow you to fully flourish alongside us.
