JOB SUMMARY
The Human Resources Assistant is under the supervision of the Operations Manager and provides specialized or general support in the day-to-day management and administration of the Human Resources function. While the focus is typically on human resources administration and compliance, the incumbent will also be responsible for other functional areas such as recruitment, staff orientation, training and development, employee relations, compensation and benefits, and performance management.
The days are not the same at EGPAF, but what can you expect as an HR Assistant?
- Support recruitment processes, including the preparation and publication of vacancy announcements, the follow-up of recruitments and recruitment reports, the screening and screening of applications, the preparation of interview schedules and assistance with the screening and reference checking of final candidates.
- Administer HR policies, including employee terms and conditions, salaries and benefits, employment contracts, leave records, etc.
- Administer the organization’s medical plan and the pension/provident fund.
- Ensure complete and up-to-date employment documentation and confidential treatment of employee information.
- Ensure that all personnel files are obtained, properly filed and updated as necessary.
- Ensure that all employees receive essential HR documents, including an ongoing contract, employee handbook and job description.
- Prepare letters of offer and employee contracts for new employees, and track contract expiry dates for renewal.
- Ensure that any changes in an employee’s status are adequately documented.
- Support the orientation and integration of new employees, including preparing an orientation program and welcome email, orienting staff on terms and conditions of employment, enrolling staff in benefit plans, and ensuring new employees have appropriate workspace and resources.
- Collect and provide payroll information to ensure that employee salary and benefits are correctly calculated and promptly informed of any changes affecting the employee’s terms and conditions of employment.
- Oversee the management and overall administration of employee leave and other leave-related processes.
- Prepare and update the Human Resources database for the South and update the organizational chart monthly.
- Assist with employee safety, well-being and well-being programs, and support internal communications and staff training and development needs.
- Help monitor the performance management system and ensure key dates and deadlines are met.
- Ensure proper planning and preparation for staff departure, including completion of all transfer responsibilities, exit interviews, etc.

PROFILE
- Bachelor’s degree in Human Resources Management; Professional diploma or certification in Human Resources Management, Administration, or a related field.
- Minimum 03 years of experience in human resources management as an Assistant or Human Resources Officer.
- Strong verbal and written communication skills and active listening skills.
- Understanding of the sensitivity and confidentiality of the HR function.
- Strong interpersonal and team-building skills.
- Ability to handle large and variable workloads, ensuring fast and accurate execution of assigned work.
- Excellent skills in databases, word processing, spreadsheets.
- Attention to detail and with particular attention to precision.
- Well organized, autonomous and motivated to produce quality work.
- Integrity, objectivity and ability to earn the trust and respect of peers
- Working knowledge of English and French.
- Good Time Management – Time management is a person’s ability to effectively manage their time and resources to ensure that work is completed efficiently.
- Good Customer Service Competence – Customer service is a person’s ability to anticipate and meet the needs of internal and external customers while providing high-quality products and services and committing to continuous improvement.
