Job Description:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative
support to our executive team at our fast-paced Internet startup. The ideal candidate is a self-motivated and
resourceful individual with excellent communication skills and the ability to multitask effectively. You will play a
crucial role in ensuring smooth operations and maintaining productive relationships within the organization.

 

 

 

Responsibilities:
Calendar Management: Efficiently manage and prioritize the executives’ calendars, including scheduling
meetings, appointments, and travel arrangements. Coordinate and organize internal and external meetings,
ensuring all necessary materials and resources are prepared.
Communication and Correspondence: Handle incoming and outgoing communications, including emails,
phone calls, and written correspondence. Draft, proofread, and edit documents, reports, and presentations as
required. Maintain confidentiality of sensitive information and exercise discretion in handling sensitive matters.
Travel Coordination: Make travel arrangements for executives, including booking flights, accommodations,
and transportation. Prepare detailed itineraries and travel expense reports.
Meeting Support: Provide comprehensive support for meetings, including preparing agendas, taking meeting
minutes, and tracking action items. Coordinate with relevant stakeholders to ensure seamless communication
and follow-up on action items.

 

 

Information Management: Organize and maintain digital and physical files, databases, and records. Conduct
research, gather data, and prepare reports or presentations as requested by the executives.
Event Coordination: Assist in organizing company events, conferences, and workshops. Coordinate logistics,
manage guest lists, and support event execution.
Relationship Management: Build & maintain positive relationships with internal teams, external stakeholders,
& clients. Serve as a point of contact for executives, handling inquiries and providing information when needed.
Special Projects: Support executives in ad-hoc projects and initiatives. Conduct research, analyze data, and
provide recommendations to contribute to decision-making processes.
Requirements:
Bachelor’s degree in Business Administration, Business school degree, Commerce degree or related field
Previous experience as an Executive Assistant or similar role supporting C-level executives is preferred.
Strong organizational and time management skills, with the ability to prioritize tasks and manage deadlines.
Excellent verbal and written communication skills, with exceptional attention to detail.
Proficiency with productivity tools (Office Suite: Word, Excel, PowerPoint, Outlook) & collaboration software.
Proactive and resourceful approach to problem-solving, with the ability to anticipate needs and take initiative.
People Management skills & High level of professionalism and discretion in handling confidential information.
Flexibility to adapt to changing priorities and work independently or as part of a team.
