Within Plan International Cameroon, this role will ensure appropriate support for the Logistics management at national in alignment with Plan International standards and processes. The postholder contributes to drive an implement an efficient and effective Logistics planning and strategy and engage proactive support to meet project needs and requirements; achieving compliance to Donor, Grants and Plan procedures and systems, as much as upholding high standards of ethics.

DIMENSIONS OF THE ROLE

Logistics management in the scope of this role includes:
– Managing the reception
– Managing mails (incoming and outgoing)
– Managing warehouses and stocks
– Support to the management of assets
– Support the distribution processes
– Support the management of archives
– Support the procurement process

ACCOUNTABILITIES

• Receiving, sorting and distributing mails
• Answering and forwarding phone calls
• Receiving and orientating visitors
• Responsible for the management of supplies and stocks
• Responsible for travel arrangements (Hotel, Taxi booking)
• Prepare, consolidate, share and follow up hosted staff requisitions and arrangements
• Take charge of premises management
• Support the issuance of Good Receipt/ Return Notes
• Participate in assets and stock counts, once every quarter.
• Support the preparation of monthly logistic reports
• Ensure the proper physical and electronic archiving of logistics documents in accordance with the filing tree and PLAN standards.
• Support the distribution activities from the packages (assemblies) to the distribution to the beneficiaries with the concerned programs
• Ensure that warehouse management procedures are respected and all movements are properly documented.
• Ensure proper management of office building, including access management
• Responsible for travel arrangements of staff
• Support the proper supervision of security agencies
• Responsible to organize management and inventory of assets and stock as per Plan procedures.
• Ensure proper filing of all support documents in office 365
• Support reception of goods and administrative follow up of bills at the supply chain department
• Implement continuous improvement as a standard way of operating

TECHNICAL EXPERTISE, SKILLS AND KNOWLEDGE

Essential
• Have a HND in Logistics, Administration Management or an equivalent university degree in a relevant field
• At least three (3) years of professional experience, including at least one (01) year in a similar position, preferably in an international NGO, or equivalent combination of education and experience.
• Knowledge of donor regulations, including EU, BMZ GIZ UNHCR and/or other foreign government development agencies, and other multilateral development agencies in procurement matters is an asset.
• Good experience and knowledge on logistics procedures.
• Analytical and problem-solving skills, with the ability to report and demonstrate on performance improvement and efficiencies through spot on and concise reports
• Good working skills with office software’s (Excel, words….)
• Ability to draft clear and precise report in responding to queries
• Must have very good interpersonal relationship with colleagues and supervisors.
• Demonstrate rigor and respect of Operational procedures.

Desirable
• Experiences in using SAP and Microsoft Dynamics…)
• Knowledge of the humanitarian sector trends and constraints would be an advantage
