Systems and Procedures
Positioning of empty containers for stuffing and transfer of full containers to RTC
1. Receive booking confirmation with number and type of containers required from Pre-shipment supervisor
2. Make proper plan with logistics service provider (AGL, Movis, Camaco etc…) to ensure availability of trucks and challenger required for containers positioning, lifting and transfer
3. Ensure availability of empty containers in good condition and well positioned for stuffing
4. Ensure Photos for all faces of containers positioned for stuffing are taken prior to commencement of stuffing and during stuffing, then archived and maintained shipment order/BL wise
5. Ensure all containers are weighed when empty before positioning for stuffing and full on the weighbridge before transferring to RTC or third party yard
6. Plan and Coordinate container dressing with contractor
7. Coordinate with RTC to get BEE required for container transfer
8. Transfer full containers to RTC well in time as per RTC cut off date from designated yards, and ensure same is done from FOB yard
9. Ensure full containers are weighed using the port weighbridge (DPWS) before transferring to RTC
10. Follow up weighment tickets with the weight bridge both full and empty containers
11. Ensure that the weight of empty container are within the accepted weight
12. Liase with shipping to plan and coordinate stuffing with the warehouse supervisor
13. Coordinate with fumigation company for fumigation and report fumigation details to pre-shipment supervisor for docs follow up
14. Report any issues/abnormality to the shipment or plant manager
15. Plan properly Container availability ahead of stuffing
16. Maintain stock ledger for packing materials and report to all concern the balance quantity on regular basis.
17. Ensure third party acknowledge for containers transfer to their yards is received maximum 24hrs from the time of dispatch.
18. Raise ‘’Bon de sortie pour embarquement’’ for all full containers transferred to third party yard.
Documentation and Reporting
1. Provide list of containers to Pre-shipment in charge along with all related interchange
2. Collect and make available in the file RTC EIR and scanning tickets within 48hrs after full containers has left the site towards RTC
3. Update and share containers report on daily basis
4. Share on weekly basis pending stock at RTC and Other designated yards
5. Share on weekly basis full containers long standing in RTC and Other designated yards
6. Share on weekly basis both full and empty containers details which has reach detention for costing reason and provision to be taken
7. Share on weekly basis Shipments tracking for all BLs afloat and Long standing shipments in transit liner wise.
8. Ensure availability of post stuffing photos whenever required.
9. Follow up of condition of cocoa inside long standing containers either in our yard or third party yard before transfer to RTC
10. Container floor plan to be prepared on daily basis and shared with all concern
11. Update container movement ledger on daily basis and share with all concern
Cost Management
1. Manage expenses and resources more efficiently and cheaply than the budget given to you
2. Manage properly empty containers in our yard to avoid long standing and damages that may lead to additional cost
3. Minimize the cost of transferring containers to third party yard for storage
Security, Environment, Health and Safety
1. Ensure that all positioning and lifting of containers are done in safe conditions
2. Ensure that all temporary workers and contract labourers working at critical positions are protected with PPE.
3. Ensure that all incidents of near miss and any other safety related incidents are reported immediately to the Safety supervisor.
4. Ensure that all machines in your office are off at the closure of the day
