Purpose of the position

Provide secretarial and administrative support services to the supervisor concerned or to the Office in general for its proper functioning.

Main functions

• Provide operational support in a timely manner;
• Implement operational activities according to schedule and prepare reports;
• Assist in the monitoring of logistics activities, the implementation of activities and the provision of updated information;
• Communicate effectively with internal and external stakeholders;
• Ensure the follow-up of the decisions resulting from the meetings and the results resulting from the exchanges and ensure their implementation;
• Prepare daily office communications and assist in compiling data and information for reporting purposes;
• Contribute to the creation, improvement and maintenance of registration and research systems;
• Monitor the supply and maintenance of office facilities and equipment.

 

 

 

 

Specific Responsibilities

• Receive routine correspondence and prepare replies for signature by supervisors;
• Enter and correct documents, reports, etc. that may be requested by his supervisors;
• Receive visitors and staff members and provide them with basic information on relevant issues and procedures;
• Assist in the monitoring of logistics activities, the implementation of activities and the provision of updated information;
• Maintain an appropriate filing and recording system for all incoming and outgoing correspondence and documents;
• Answer and screen various correspondence such as telephone calls and e-mail messages and follow up with supervisors and partners;
• Keep the schedule of appointments for supervisors up to date;
• Ensure proper maintenance of equipment and report any failures for maintenance purposes and other required actions;
• Provide routine day-to-day administrative support to the various departments of the Units to which the incumbent is attached;
• Ensure the stock of stationery, the availability of equipment and supplies within the office for which he is responsible;
• Provide reception services, if necessary; and
• Fulfill any other duties and responsibilities that may be assigned to it.

Academic training and experience required

• The candidate must hold a Bac+2 level diploma in secretarial, administrative services, office management or a related field of study, with three years’ relevant experience in secretarial work in public organizations, diplomatic missions , international organizations or international non-governmental organizations.
• Or he must hold a Bachelor’s degree in secretarial, administrative services, office management or a related field of study, with at least 2 years’ relevant experience in the field of secretarial work within a public organization , a diplomatic mission, an international organization or an international non-governmental organization.
• Training related to communication would be an added advantage.

Skills Required

• Excellent knowledge of office applications such as Word, Excel, Outlook and PowerPoint
• Excellent planning and organizational skills;
• Very good typing skills, with a speed of at least 50 words per minute;
• Excellent interpersonal skills;
• Excellent verbal and written communication skills;

DURATION OF CONTRACT AND STARTING UP:

Engagement in this position is on the basis of a regular contract for a period of 3 years, of which the first 12 months will be considered as a probationary period. Thereafter, the contract is renewable for a period of two years, subject to satisfactory results and achievements.

COMPENSATION benefit :

Indicative base salary of US$12,834.00 (GSA4, step 1) per year, plus other related benefits such as post adjustment (48% of base salary), housing allowance (US$16,813.44 per year) and education allowance (100% of tuition and other education-related expenses for each eligible dependent, up to a maximum of USD 10,000.00 per child per year), for recruited staff internationally and a maximum of US$3,300 per child per year for locally recruited staff.
