secretariat DUTIES
1. General tasks
2. Reads mail and sorts it according to priorities;
3. Designs and writes draft responses to mail;
4. Organizes and classifies files of the TRADE and POLITICS Sections (electronic and
physical);
5. Coordinates the agenda of the Heads of TRADE and POLITICS Sections and makes the
related arrangements, including making appointments and booking
drivers or meeting rooms;
6. Makes reservations (travel and accommodation) for Heads of TRADE and
POLITICS Sections during their various missions as well as reimbursements and
prepares the appropriate forms;
7. Ensures the link between the sections;
8. Organizes meetings of the sections with external services;
9. Prepares, submits and monitors leave and mission programs;
10. Filters telephone calls from the heads of TRADE and
POLICY Sections and provides first-level information;
11. Prepares minutes of meetings of the TRADE and POLICY Sections;
12. Submits pending files at the appropriate time;
13. Receives and directs visitors to the heads of TRADE and POLICY Sections;
14. Follows up on decisions taken by the heads of TRADE and POLICY Sections
and takes appropriate measures to ensure their implementation;
15. Regularly updates the files and computer files of the
TRADE and POLICY Sections;
16. Prepares a directory of useful addresses of the contacts of the heads of
TRADE and POLICY Sections;
17. Manages office supplies in collaboration with the other section secretaries;
18. Contributes as needed to the back-up of the Assistant to the Head of Delegation;
19. Backup of the Ambassador’s secretariat
20. Performs any other task required by service requirements.
21. Tasks specific to the TRADE and POLITICS sections
– Logistical organization of missions from Headquarters and technical assistance missions
;
– Participation in the evaluation of offers in the context of calls for proposals, requests
for services;
– Mail processing;
– Draft response to mail;
– writing verbal notes;
– filing; keeping the agenda of the TRADE and POLITICS sections and
section heads;
– meeting minutes; welcoming visitors, booking rooms and drivers;
– making travel and mission reservations, preparing reimbursements;
– managing office supplies for the TRADE and POLITICS sections
REQUIRED PROFILE
Education: Minimum Bac +2; BTS in Secretarial Studies or equivalent
Professional experience: in a similar position of at least 5 years, ideally in an
embassy or an international organization.
Language skills: Excellent command of French and English. Knowledge
of Spanish and Portuguese is an advantage.
Computer skills: word processing, spreadsheets, e-mail and
Internet browsing. Proficiency in Desktop Publishing software is an
advantage.
