JOB PROFILE: The Executive Assistant performs administrative and day-to-day management tasks.

MISSIONS:

He (she) assists the Director of Operations in the execution of some of his missions. Specifically, he (she) will be responsible for:

Ensure the reporting of the various activities of the Operations Department
Ensure the physical and telephone reception of internal and external interlocutors
Ensure appointments
Process postal and electronic mail as well as telephone calls
Monitor the circulation of signature books
Manage electronic diaries and control deadlines
Enter, format various documents (letters, emails, reports, etc.), reproduce and distribute them

 

 

 

Process and distribute internal and external information
Respond to requests for information from other departments and the outside
Select and disseminate information internally and externally
Organize meetings and their logistics, write records of decisions
Take charge of the logistical aspects of the Operations Department (stock management of office supplies, photocopier, etc.)
Organize, feed, update databases relating to the administrative management Classify, pre-archive documents related to the archives service
Feed dashboards, make extractions in administrative information systems
And all other tasks that may be entrusted to him by the hierarchy
KNOW:
Academic level: License in Business management
Additional training and/or qualifications: Training in office automation
Professional experience: 05 Years including 03 Years as Assistant to a Director
KNOW HOW

Mastery of oral and written communication techniques.
General knowledge of administrative management and secretarial techniques.
Mastery of the Office 2016 Pack (Excel, Word, etc.), and messaging tools (Outlook / Zimbra). The mastery of SAP would be an asset
KNOW HOW TO BE

Very good writing and oral expression skills
Rigor, sense of organization and autonomy of work
Sense of priorities and organization
Ability to take initiatives
Ability to report on its activity of spontaneous and synthetic way
Ability to adapt to changes, to deal with emergency situations
Know how to manage one’s activity in a calendar and a management framework with several directors Dynamic and able to work technically under pressure
