ASSISTANT EXECUTIVE COORDINATOR

JOB TITLE Assistant Executive Coordinator
LOCATION: University of the Mountains (BANGANGTE-BANEKANE)

HIERACHICAL SUPERIOR:     Executive Coordinator
TYPE OF CONTRACT: Fixed-term contract
MAIN MISSION:     Communication of the platform:
Ensure communication between the administration, the coordinators and the stakeholders (teachers, tutors and students) via the Moodle platform;

 




 

Provide administration, including registration and monitoring of students, management of student files and the creation of user groups with configurable restrictions via the Moodle platform;
Ensure complete tracing of the passage of the teacher and students during forums or instant messaging using the Moodle platform.
Welcome :
Inform selected learners of the availability of selection results;
Communicate to the selected learners the procedure to follow for the confirmation of their participation, then the constitution of the file to be provided for registration;
Communicate to the learners, responsible teachers and tutors the important dates of the training (Start of the courses of a promotion, periods of the face-to-face groupings, planning of the course of the EU, etc.);
Communicate to all training actors their respective connection parameters (login and password) to the teaching platform;
Put in contact the tutors and the responsible teachers intervening on the same lessons, in particular when the latter do not know each other;

 

 

Give each training actor all the information necessary for a successful start of the training;
Organize face-to-face meetings and provide learners with all the necessary documentation (letter of invitation, hotel reservation voucher, etc.) for their travel;
Contact ODL partners and welcome them to UdM during their intervention.

Organization:
Prepare, in collaboration with the pedagogical college, a schedule of the progress of the courses, specifying the start and end dates of each course;
Propose the course schedule to the steering team:
Collect and verify the records of selected learners; Ensure the payment of university fees for learners and report to the steering team;
Create groups of learners and assign them tutors in collaboration with the pedagogical college;
Arrange, in consultation with the pedagogical college, a program for the conduct of face-to-face groupings; Propose and animate a discussion forum for teachers and tutors;
Organize, in collaboration with the French-speaking Digital Campuses of the learners’ countries of residence, the conduct of the exams (transmission of exam subjects, collection of copies, etc.) and defenses;
Ensure the collaboration of the French-speaking digital campuses by transmitting the course schedule and all other important information;

 

 

Organize, in collaboration with the teacher in charge and the tutor, remedial tutoring for learners who have reported their unavailability during a period of normal tutoring;
Get in touch with the various training partners (company for practical work, Internet supply, various service offers, etc.) and organize their intervention;
Prepare the learners’ score sheets and present them to the pedagogical council within the deadlines set by the overall timetable.

Manage the epidemiology and biostatistics laboratory,
Provide practical work for students online;
Assume the role of tutor in several lessons.
ACADEMIC LEVEL:     Hold a Master’s degree in Public Health, Epidemiology option or any equivalent degree.
REQUIRED SKILLS: Know-how:
Good command of computer tools in general and remote communication software in particular (ZOOM, TEAMS, Google Classroom) and be ready to receive training on other platforms;
Good mastery of courses, practical work and tutorials in the field of specialty;
Good command of statistical analysis software (R, Epi Info, Statview, Microsoft Excel. )
Speak, read and write in French and English.
Know-how :
Have a good sense of organization and rigor in the work,
Have a sense of teamwork.
