Job Summary
The Human Resources Assistant reports to the Operations Manager and provides specialist or general support in the day-to-day management and administration of the Human Resources function. Although the focus is typically on HR administration and compliance, the incumbent will also support other functional areas such as recruitment, staff orientation, training and development, employee relations, compensation and benefits, and performance management.
Days aren’t the same at EGPAF, but what can you expect as an HR Assistant?
Support recruitment processes, including developing and posting job vacancies, tracking recruitments and recruitment reports, screening and shortlisting candidates, preparing interview schedules and assisting screening and reference checking of final candidates.
Administer HR policies, including employee terms and conditions, wages and benefits, employment contracts, leave records, etc. Administer the organization’s medical scheme and pension/provident fund.
Ensure complete and up-to-date employment documentation and confidential handling of employee information. Ensure that all personnel files are obtained, properly filed and updated as necessary. Ensure that all employees receive essential HR documents, including a current contract, employee handbook and job description.
Prepare offer letters and employee contracts for new hires, and track contract expiration dates for renewal. Ensure that any change in an employee’s status is adequately documented.
Support the orientation and onboarding of new employees, including preparing an orientation program and welcome email, orienting staff on terms of employment, enrolling staff in benefit plans, and ensuring that new employees have appropriate workspace and resources.
Collect and provide payroll information to ensure that employee salary and benefits are correctly calculated and promptly notified of any changes affecting the employee’s terms of employment.
Oversee the management and general administration of employee leave and other leave-related processes.
Prepare and update HR database for the South and update organizational chart monthly.
Assist with employee safety, wellness and wellness programs, and support internal communications and staff training and development needs.
Help monitor the performance management system and ensure that key dates and deadlines are met.
Ensure proper planning and preparation in relation to the departure of staff, including the completion of all handover responsibilities, exit interviews, etc.
To be successful in this position, you must have:
Degree in Human Resources Management; degree or professional certification in Human Resources Management, Administration, or related field.
Minimum 03 years of experience in human resources management as Assistant or Human Resources Manager.
Strong verbal and written communication skills and active listening skills.
Understanding of the sensitivity and confidentiality of the HR function.
Strong interpersonal and team building skills.
Ability to manage a large and variable workload, ensuring prompt and accurate execution of assigned work.
Excellent skills in databases, word processing, spreadsheets.
Attention to detail and with particular attention to precision.
Well organized, autonomous and motivated to produce quality work.
Integrity, objectivity and ability to earn the trust and respect of peers
Working knowledge of English and French.
Good Time Management – Time management is a person’s ability to effectively manage their time and resources to ensure work is completed efficiently.
Good Customer Service Competency – Customer service is an individual’s ability to anticipate and meet the needs of internal and external customers while providing high quality products and services and committing to continuous improvement.

Administer HR policies, including employee terms & conditions of service, salaries, and benefits, employment contracts, leave records, etc. Administer the organization’s medical scheme and pension / provident fund.
Ensure complete and up-to-date employment documentation and confidential handling of employee information. Ensure all required employee documentation is obtained, correctly filed, and updated as necessary. Ensure all employees are in receipt of critical HR documents, including a current contract, employee handbook, and job description.
Prepare offer letters and employment contracts for new employees, and track contract expiry dates for renewal. Ensure any changes in an employee’s status are adequately documented.

Monitor the management and general administration of employee leave and other leave-related processes.
Prepare and update the human resources database for the South and update the organization chart monthly.
Assist with employee safety, welfare, and wellness programs, and support internal communications and staff training & development needs.
Assist in monitoring the performance management system and ensure that key dates and deadlines are met.
Ensure proper planning and preparation in respect of departing staff, including fulfillment of all handover responsibilities, exit interviews etc
To be successful, you will have:
Bachelor’s degree, diploma, or professional certification in human resource management, business, organizational development, or a related field.
Minimum 3 years of previous human resource management experience at the assistant or officer level
Strong verbal and written communication skills, and active listening skills.
Understanding of the sensitivity and confidentiality of the HR function.
Strong interpersonal and team-building skills.
Ability to manage a large and variable workload, ensuring timely and accurate completion of assigned work.
Excellent skills in databases, word processing, and spreadsheets.
Detail-oriented and with special attention to accuracy.
Well organized, self-guided and motivated to produce quality work.
Integrity, objectivity, and the ability to gain the trust and respect of peers
Working knowledge in English and French.
