SUMMARY OF POSITION DUTIES

The position is based in the administrative unit of the UNESCO Office in Yaoundé and provides basic and routine decentralized technical support on application system hardware and software in the area assigned to the Office. The Information Technology (IT) Assistant is placed under the direct authority of the Administrative and Financial Officer of the Local Office and performs the tasks under the general authority of the Head/Director of the Office. The Information Technology Assistant is responsible for performing a range of clerical activities in support of the administrative unit and the implementation of projects/programmes.

 

 




ICT MAINTENANCE SERVICES

Administration and maintenance of ICT infrastructure, equipment and services.
Undertake actions to upgrade, repair or replace ICT infrastructure, equipment and services, as appropriate.
Maintain the office computer server and server room and ensure the safety and security of all system applications, databases and electronic files.
Ensure internet connectivity at all times and the proper functioning of all network applications such as intranet, website, shared drives and email facilities.
Assist users in implementing backups to safeguard their own information, maintain backup copies of server information. Ensure that this backup is kept in a safe place in case of the unexpected.
Perform routine backup of all software, applications, electronic files or data in a timely manner in accordance with HQ/DBS instructions/directives and ensure recovery of such files or data in case of loss due to disasters or cyber- offensive.
Keep the IT business continuity plan and the IT security plan up to date.
WORKSTATION ASSISTANCE SERVICES

Provide technical assistance to all authorized users for the installation and/or configuration of new equipment, components, gadgets and other peripheral accessories such as desktop computers, laptops, notebook computers, tablets, phones, docking stations, printers, scanners, cameras, sound and voice devices.
Assist authorized users in resolving technical problems encountered while using computerized systems and applications by performing system diagnosis, keeping track of problems, liaising with HQ/DBS for technical assistance and assisting the DBS in diagnosis and troubleshooting/corrective action.
Provide support to all users using remote connectivity tools, such as TEAMS, Skype, S4B, Zoom, Global Protect, etc. Follow up on any problem encountered with the VPN connection and find the best possible solution.
Provide user support and training on commonly used application software and maintain up-to-date books/manuals and office-related hardware databases.
Keep the annual IT equipment maintenance plan up to date.
Update and run system anti-virus applications and other protective measures on a regular basis or as needed.

 

 

 

 

PROCUREMENT SUPPORT SERVICES

Advise the financial and administrative manager on new possibilities for improving and upgrading computer equipment and the network.
Help negotiate with local ISP operators for telephony projects via S4B and INTERNET ensuring that prices go down and required bandwidths increase constantly in order to cope with new needs such as O365 for example.
Maintain constant communication with the ISP to ensure follow-up in the event of a service interruption.
You are responsible for implementing new features, software, applications or services and changes to the ICT infrastructure that may be released by HO/DBS from time to time.
Assist in the identification of IT equipment suppliers and the use of long-term agreements established by UNESCO and other UN entities, locally or at headquarters.
Contribute to the occasional selection of local IT experts to carry out repairs and other work on ICT infrastructure and equipment.
RECORDS MANAGEMENT AND INSTITUTIONAL MEMORY

Assist in structuring the management of digital records in Our Drive with a standardized filing system and adoption of a naming convention for digital records, in line with DBS guidelines in the roadmap of 60 days.
Enable effective knowledge sharing and reuse. In particular, facilitate internal meetings to update/remind colleagues of DBS policies and new features being developed.
Participate in meetings and workshops, mainly in the areas of new technologies and telecommunications, as well as inter-institutional meetings related to the working group on information and communication technologies.
Assist in updating and maintaining computerized databases and the Office’s website.

ASSET MANAGEMENT

Assist in the preparation of the inventory list and keep information updated on a regular basis. Assist in the preparation of the year-end inventory of assets and the list of assets to be disposed of, at least twice a year.
Provide technical support to effectively manage durable goods and physical inventory list of assets, using software and barcode scanner.
Update the list of ICT assets following any new acquisition or disposal, as well as the list of these terms in the custody of each office user and make it available for physical inventory exercises.

REQUIRED QUALIFICATIONS

EDUCATION:

High school diploma, technical or vocational.

PROFESSIONAL EXPERIENCE:

5 years of experience in the field of information technology, network administration, support for the management of hardware and software platforms, telecommunication installations and applications.

SKILLS AND SKILLS

Ability and willingness to acquire new knowledge and techniques, self-development.
Fundamental knowledge of processes, methods and procedures in the field of IT; technical and functional management of new technologies.
Advanced computer skills and use of software and other applications such as MS Office applications, Databases, PowerPoint, Internet including web 4.0,
Thorough knowledge of web techniques and the latest developments and innovations in ICT

LANGUAGE:

Excellent knowledge of English or French, good knowledge of the other language.

DESIRED QUALIFICATIONS EDUCATION: Higher education (Bachelor’s) in computer science or information technology. Appropriate certificate or diploma in software and application management. WORK EXPERIENCE Work experience within the United Nations system or another international development organization. Work experience in a multicultural environment. SKILLS AND COMPETENCIES Knowledge of SAP. Flexible and proactive personality

LANGUAGES

Knowledge of Spanish and/or Portuguese will be an asset.
