The IT and Logistics Assistant assists the Purchasing Manager in his responsibilities, including compiling mission plans, tracking travel requests, tracking deliveries, making tools available to partners, IT support to ensure the proper execution of the technology service, including monitoring, operating and assisting staff in the use of computer hardware, software and peripherals to achieve the desired results. These tasks may include a wide variety of distinct Logistics and Purchasing responsibilities; in particular the monitoring of contracts for the provision of upkeep, maintenance and surveillance of premises.
Main responsibilities
Specific responsibilities of this position include:
Computer science
- Management of team equipment
- Assist in configuring desktop computers, devices and accounts by assigning a security level in consultation with the IT Support Specialist.
- “Assist in troubleshooting, diagnosing problems, implementing corrective action procedures within prescribed guidelines and/or escalating to other technical resources as appropriate”
- Assist in administering user accounts as directed
- Design and upload content to the organization’s website or other social media interface
- Provide basic troubleshooting, repair and maintenance services for computer equipment (microcomputers, disk drives and laser printers etc.) and assist in testing personal computers on a network to diagnose hardware or software problems
- Ensure the management and maintenance of video-projection and videoconferencing installations
- Assistance and technical support to users for the use of video projection and videoconferencing installations .
- Strengthen the IT capacity of staff
- Design teaching support materials
- Assist in the transfer of computer files between platforms.
- Manages interactions with Internet Access providers and FHI 360 telephone traffic
Logistics
- Mouvements/Voyages
Ø Compile supervision mission plans and ensure the allocation of vehicles
Ø Set up a vehicle control and monitoring system and ensure regular maintenance
Ø Track documents required for travel.
- Logistique Bureau
Ø Ensure the management and monitoring of office security contracts: renewal, payments, approvals, etc.
Ø Ensure the management and monitoring of the office maintenance contract: renewal, payments, approvals, etc.
Ø Ensure the proper functioning of the generator
Ø Manage repairs and other office needs (purchases of equipment, materials, etc.)
Ø Ensure stock management of office equipment
Ø Prepare kits and logistics for training workshops
Ø Serve as a focal point for updating project inventories.
- Inventaire
Ø Receive all orders in agreement with the requesting services
Ø Ensure the updating of inventories (labeling, tracking table, etc.) at office level and at partner level.
- Perform other related tasks as assigned.

Qualifications and skills required
- Bachelor’s degree in Logistics, IT or its equivalent in a relevant field
- Having a Bachelor’s degree in information technology would be an asset
- Having prior experience with FHI 360 would be an asset
- Have at least three (3) years of relevant professional experience in a similar position (preferred for experience with international donor funding – specifically USG, USAID, and PEPFAR)
- Have at least five (3) years of experience with computers and providing customer service in a technological environment
- Know how to detect and diagnose system and network problems
- Use automated deployment and fleet management tools
- Knowledge of equipment maintenance and repair
- Adapt to technological developments
- Perfect command of the French language; knowledge of English would be an asset.
- Proficiency in Microsoft Office applications (Excel, Outlook, PowerPoint, Word) Cherwell and Active Directory required; Database management experience would be an asset
- Experience in office management and vehicles
- Being organized, able to prioritize tasks, and proactive are required
- Ability to manage multiple tasks and requests, establish priorities and work effectively in a deadline-driven environment; accuracy and attention to detail in completing tasks are of crucial importance
- Strong customer service-oriented verbal and written communication skills, with an ability to interact professionally with culturally and linguistically diverse staff and external stakeholders.

The IT and Logistics Assistant is supervised by the DAF
