CALL FOR INTERNAL AND EXTERNAL APPLICATIONS FOR THE RECRUITMENT OF A JUNIOR OFFICE MANAGER FOR THE REGIONAL OFFICE OF THE DEUTSCHE GESELLSCHAFT FÜR INTERNATIONALE ZUSAMMENARBEIT (GIZ/BRY)  IN YAOUNDE.

The GIZ Regional Office in Yaoundé (BRY), Cameroon, has been opened to support the entire portfolio of Projects and Programs implemented by GIZ. Its main missions are to guarantee the conformity of the processes and the administrative support necessary to expedite the various development actions by area of ​​intervention carried out in the five countries covered by the BRY: Cameroon, the Central African Republic, Gabon, Chad and Sao Tome.

 

In order to carry out its activities, the BRY is looking for  a (01)  Junior Office Manager.

 

B. AREAS OF RESPONSIBILITY

Under the supervision of the Office Management Manager, the incumbent is responsible for the following activities:

  • Support the Resident Director and the Administrative and Financial Director in administrative matters;
  • Respond to the administrative needs of the Regional Office (secretarial, communication, translation, logistics);
  • Act as an interface between Management and projects, partner institutions and third parties for the supervision and coordination of activities;
  • Replace the Office Management Manager if necessary.

 

 

C. AWARDS

The incumbent must:

Administration and communication

  • Manage the calendars of the Resident Director and the Administrative and Financial Director;
  • Accompany the Resident Director and the Administrative and Financial Director to strategic meetings;
  • Organize meetings of the Management Team and write the minutes;
  • Prepare and moderate the bi-monthly Regional Office staff meeting and farewell parties;
  • Support the Communication department in the organization and moderation of various corporate events including GIZ introductory seminars and Annual Planning;
  • Contribute to the dialogue between GIZ programmes/projects and the various local and international target groups;
  • Assist in the management of day-to-day relations with foreign administrations in addition to the usual partners;
  • Assist in keeping an overview and on a constant basis of changes in the portfolio, personnel, regulations, and circulating the right information to the right people in a timely manner;
  • Ensure the updating of the internal directory of the Regional Office and coordinate the updating of the directory with the Programmes/Projects;
  • Facilitate appointments at the German Embassy in Cameroon;
  • Ensure the reception of the personnel sent and their accompanying families.

Coordination of activities

  • Support the execution of complex administrative responsibilities as well as communication activities between the Regional Office in Yaoundé, its Programmes/Projects and collaborative networks;
  • Contribute to smooth communication between GIZ programs/projects in Cameroon and HQ in Germany;
  • Organize and support the missions of international visitors and consultants;
  • Organize the logistics and information materials for meetings and events at the level of the Directorate and the Regional Office in general;
  • Draft the satisfaction survey of the Regional Office and its branch in Chad;
  • Contribute to the management of general office-related activities;
  • Assume other activities and tasks as instructed by his superior.

REQUIRED PROFILE

D. REQUIRED QUALIFICATIONS, SKILLS AND EXPERIENCE

 

Qualifications

  • Have at least a university degree (Bac+3) in administrative management, organizational management or any equivalent diploma;
  • Have excellent language skills (German, English  and  French).

Professional experience

  • At least three (03) years of experience in a similar position; references required;
  • Be fluent in French, English and German (written, read, spoken);
  • Have practical experience in facilitating / leading / moderating events;
  • Have experience in translation;
  • Have proven experience in facilitating/moderating events/workshops;
  • Knowledge of GIZ procedures would be an asset.

Other abilities

  • Be open-minded;
  • Have a strong capacity for coordination and initiative;
  • Have strong analytical skills;
  • Be autonomous, and organized;
  • Have excellent intercultural communication skills;
  • Have a good command of the use of information and communication technologies;
  • Have a good command of office suites (MS Office);
  • Knowing how to use computer-assisted translation software (SDL Trados, Wordfast) is an asset.
  • Have an acute sense of confidentiality and discretion (data and information collected as part of the service);
  • Ability to work in a team and in a multicultural environment;
  • Be flexible and quick to move around the field if needed.

Contract start date  :  01.09.2023

Contract period  :  CCD (2 years, renewable)

Place of employment  :  Yaoundé .

Internal classification of the position  :  Band 3A  under the hierarchical supervision of the Office Management Manager.
