Missions and Responsibilities

The Logistics Officer is responsible for supporting the INTERSOS management staff in the professional and efficient implementation of all logistics activities related to the needs of the office and the implementation of the project. He is in charge of tasks concerning the management and distribution of warehouses and supplies, orders and purchases, supervision of personnel, fleet management, energy and security (implementation and application) and the recording and visibility of assets.
 

 

• Assist the Logistics Coordinator/Project Manager/Base Manager in all logistical aspects of INTERSOS activities on the specific area of ​​the project;
• Participate in staff coordination meetings and contribute to the follow-up of all logistical matters;
• Be in charge of all customs clearance procedures and maintain relations with the competent authorities;
• Check the stock of fuel and water in the complex and report the shortage to the logistics coordinator in time;
• Organize and update all logistic files and documents in the appropriate archives;
• Check the proper functioning of warehouse / stock procedures (entry / exit registration), check stocks on a regular basis and report to the immediate supervisor;
• Monitor and regularly update the inventory of material and equipment (related to the office and the project, in hard and electronic copies) on IMP;
• Check and properly maintain office, warehouse/stock and guest house conditions (building, electrical/generator, plumbing, equipment, etc.) and report any issues to the immediate supervisor;
• Organize and update all logistic files and documents in the appropriate archives on IMP and drive;
• Prepare, obtain approval, place orders and proceed with local purchase according to established procedures, including the implementation of all procurement procedures (bids, offers, quality and price evaluations) and prepare contracts with assigned vendors;

 

 

• Organize and oversee all logistical aspects and documentation for the transportation of goods/supplies: waybills, packing lists, final delivery/distribution records;
• Prepare and update lists of spare parts and equipment and any other items needed for international purchase orders;
• Plan and supervise the work of drivers, guards (in the office, in the warehouse and in guest houses);
• Supervise security guards, drivers and cleaning/kitchen staff;
• Checking and supervising the proper operation and maintenance of the INTERSOS vehicle fleet, including the daily planning of the fleet management, the proper management of the driver’s logbook and the supervision of the drivers;
• Prepare preparations for travel to project sites and any other location (verify conditions of vehicles, fuel, radio, drivers, etc.);
• Verifying and supervising the proper functioning and use of radio, satellite telephones and any other means of communication necessary for safe travel, including the preparation of letters which had to be submitted to the authorities;
• Monthly check emergency kits and toolboxes in each vehicle and the operation of satellite phones;

• Maintain equipment and purchase new items in coordination with the project manager and administration;
• Report any problem or inconvenience to the immediate supervisor;

 

 

Perform any other task requested by the Logistics Coordinator.
Job requirements
Education Bac +4 in logistics and transport or in a related field
Experience Minimum 4 years of professional experience relevant to a logistics position.
2 years of work experience in Logistics within an international or national NGO recognized for the value of its organizational arrangements;
French and English
language Proficiency in the local languages ​​of the Far North would be an asset
Knowledge Proficiency in computer tools, MS Office Complete environment, General principles of automobile mechanics, Basic knowledge of customs clearance and transport, Principles of inventory management , procurement and fleet management
