POSITION SUMMARY
Population Services International Cameroon is the national branch of PSI, with programs on malaria, reproductive health, child survival, clean water, diarrhea, HIV prevention and treatment.
PSI promotes and distributes health products, services and healthy behaviors, enabling low-income and vulnerable people to lead healthier lives through programs on HIV/TB, malaria, child survival, reproductive health, diarrhea and waterborne diseases, hepatitis C and COVID-19.
Under the direct supervision of the Executive Director, the Executive Assistant is responsible for organizing and coordinating a time and information management system at the level of the Executive Directorate, for rigorously maintaining the secretariat of the Resident Representative with effectiveness to contribute to achieving the strategic objectives of the PSI Cameroon platform.

Requirements
The position holder is based in Yaoundé and will have to work closely with the entire team and often under pressure. Once a year, He/She can visit one of PSI Cameroon’s sub-offices. If necessary, the incumbent will be required to work outside PSI Cameroun’s normal working hours. The incumbent is placed in a salary scale in accordance with PSI Cameroon standards and benefits from training to strengthen his/her capacities within the possibilities of the platform.
ESSENTIAL FUNCTIONS
This is not an exhaustive list of all duties the incumbent is expected to perform. This is a summary of the main responsibilities and requirements of the position, and the incumbent may be required to perform tasks such as:
COORDINATION (30%)
• Coordination of the activities of the Executive Directorate secretariat.
TECHNICAL (30%)
I. ADMINISTRATIVE ASSISTANCE AND SUPPORT
• Assist the Resident Representative in carrying out her tasks (making appointments, organizing meetings, welcoming visitors, travel, etc.)
• Writing notes or correspondence based on oral or handwritten instructions.
• Help organize (or organize) various meetings and activities as needed (conferences, meetings, workshops, etc.).
• Perform secretarial tasks (telephone management, reception, processing and recording of correspondence, drafting official notes, etc.)
• Receive and distribute electronic messages.
• Organize management team meetings.
• Provide administrative support to staff, as needed, in carrying out various tasks.
• Supervise timetables.
• Ensure the registration and renewal of trademarks with OAPI (African Intellectual Property Organization).
II. MANAGEMENT OF EXECUTIVE COMMUNICATION
• Ensure the processing of General Management information both locally and with international partners (entry, dissemination, etc.).
• Coordinate with the PSI Cameroon public relations department the dissemination of information internally (internal notes, memos, etc.) and externally.
III. MANAGEMENT OF RECEPTION AND ALL OTHER TASKS
• Supervise the receptionist and reception in general.
• Greet all visitors courteously and direct them appropriately to the agents visited.
• Carry out all tasks assigned by management.
LEADERSHIP (10%)
• Demonstrate and live the values and practices of our funders by applying effective management and leadership principles.
• Ability to develop and communicate a collective vision and inspire others to realize that vision.
REPRESENTATION (10%)
• Participate in platform meetings (management team, working group, etc.) and contribute to the achievement of the general objectives of the platform.
• Participate in meetings with donors and partners.
TEAM MANAGEMENT AND COACHING (10%)
• Organize the work of teams and define their objectives.
• Carry out team evaluations, supervise the development of their objectives and provide coaching.
• Supervise and coordinate stakeholder training activities.
• Supervise employees according to their specific needs.
• Motivate and retain teams.
REPORTS (10%)
• Produce periodic activity reports (monthly, quarterly and annual) for general management.
QUALIFICATIONS

Education requirements:
•Have a BAC + 2/3 diploma in Bilingual Executive Assistantship.
Experience required:
•At least 5 years Relevant professional experience of at least 5 years in Management Assistantship.
