TDR MANAGERIAL ASSISTANT

 

Role :  Executive assistant

Work location: Yaoundé, Cameroon

Type of contract : CDI

Conditions : Temps-plein

Work period : Annual Renewable

Trial period  : 3 months renewable once

 




 

CONTEXT

For almost 25 years, the ICCNET group has been performing in the fields of telecoms, hospitality, finance and, more recently, industry, through 7 companies (Matrix Télécoms SA, ICCSOFT SA, RESYTAL, ADAC (Africa Data Center), LA VALLEE DE BANA, CCEC-SA, GFC).

It currently has 300 employees and is seeing appreciable growth, despite exogenous factors impacting the business environment in Cameroon.

In order to achieve its new ambition, namely to triple its annual turnover within the next five years, the group has reorganized itself by forming an active holding company, which will ensure the management and strategic development of its various subsidiaries.

 

 

TASKS AND RESPONSIBILITIES  :

 

Under the general supervision of the CEO of the Holding and the direct supervision of the administrative and financial manager:

 

General Administration

 

  • Maintain constant relationships with the various subsidiaries of the Holding in terms of monitoring administrative actions.
  • Track mail and ensure dispatching to the different entities according to the directions of the CEO and management.
  • Manage the agenda of the CEO and management (note the various meetings and ensure follow-up).
  • Manage the holding company’s activities calendar and produce a weekly report
  • Ensure compliance of documents submitted for signature by Management with current procedures and provide guidance where appropriate.
  • Organize the missions of the CEO and Management in collaboration with the various competent departments.
  • Manage meeting rooms and confirm availability if needed.
  • Consolidate and submit supporting documents for the missions of the CEO and management and prepare possible complaints.
  • Support the general affairs officer in supervising support staff.
  • Carry out all other tasks related to their functions and meeting their professional skills according to the needs of the company.

 

 

 

 

Secretariat

 

  • Organize and participate in meetings, different committees, (Write invitations to meetings and ensure the availability of participants, prepare and file official documents, etc.).
  • Write meeting reports and follow up on the implementation of recommendations with the relevant departments.
  • Write responses to outgoing letters under the direct responsibility of the CEO.
  • Review mail from other departments and subsidiaries before submission for signature by the CEO and Management.
  • Establish a strict archiving system for all electronic and paper communications according to the subjects, the different subsidiaries and departments.

 

 General services and logistics

 

In collaboration with the general affairs manager:

  • Manage event logistics (reserve rooms, hotels, transport, etc.) – Search for suppliers for specific events (job days, meetings and other internal or external conferences.) according to needs (quality, price and deadlines)
  • Manage supply orders linked to these events exclusively.

 

REQUIRED PROFILE :

  • Bac+5 in Executive Assistantship, Executive Secretariat, Management Assistantship, Manager Assistantship, or any other equivalent field.
  • 05 years of professional experience.

 

Required knowledge  :

  • Excellent written and oral expression in the French language. Knowledge of the English language would be a major asset for this position.
  • Mastery of the pack Office.
  • Excellent writing skills.
  • Method of classification and archiving.
  • Reception arrangements.
  • Note-taking techniques.
  • Scanning techniques.
  • Use of collaborative tools (shared planning, Video conference).
