RECRUITMENT OF AN EXECUTIVE / COMMUNICATIONS ASSISTANT

Position: Executive Assistant 
Country: Cameroon, Douala
Workplace: Rue 16, Maille 18 Cité SAD Banga Japoma.

Context

MK Groupe is looking for an executive assistant to manage the secretariat of the entities of the MK Groupe corporation, provide support for the administrative management of all the member entities of the Corporation. She is responsible for providing support in management, communication, information and file monitoring, and is in regular contact with the focal points of each entity of the corporation.

Target

Minimum level of diploma required: BAC+2/3 and more 
Required qualification(s): 
       > Desired experience in the role of executive secretary and/or Communication

> Mastery of office tools: Word, Excel, Outlook, Powerpoint, social networks
> Mastery of executive secretarial techniques and tools
> Knowledge of the working environment of consulting firms
> Knowledge of accounting
> Knowledge of human resources

> Oral and written mastery of the French language
> Oral and written mastery of the English language
> Ability to assess the urgency of a request
> Management of delicate situations
> Ability to manage pressure

Your missions

Assist management in its daily functions: 
> Organize the reception service; Maintain the telephone switchboard
> Manage mail in relation to each entity of the Corporation
> Ensure the interface function between the entities of the corporation and the outside world
> Physical and telephone reception, knowing how to prioritize (degree of importance, urgency), filter, redirect, transmit
> Search for information by reading documents and/or databases, restitution
> Drafting of notes and letters based on oral instructions and/or files,
> Updating and monitoring of steering dashboards, ensuring feedback to the people concerned regarding files or actions
> Supervise the work of support staff (cleaning agent, garbage pre-collection service)
> Organize the processing and dissemination of information according to the recipients (the entire group, staff of a particular entity, etc.)
> Organize and update files, file them appropriately (electronically or on paper) and archiving
> Take notes, write and follow up on minutes for meetings according to the recipients (the entire group, staff of a particular entity, etc.)
> Carry out secretarial tasks
> Manage the agenda and priorities
> Manage the flow of incoming and outgoing documents (reception, analysis, orientation, follow-up, archiving)
> Organize travel, meetings and appointments
> Contribute to the organization and participation of MK in various events, including trade fairs;
> Reformat administrative documents in an appropriate form (table, graph, PowerPoint presentation, etc.)
Follow-up of accounting and human resources documents in connection with the entities concerned
> Contribute to the promotion of the brands of the corporation’s entities according to the communication plan, marketing plan of each entity of the group;
> Organize press relations in collaboration with experts in the field (find media and press releases) 

Ensure the communication of MK Group through its entities and products 
 Design and regularly update prospect and media databases
 Write and distribute monthly Newsletters
 Design company presentation documents (product sheets, visuals, brochures, flyers, etc.)
 Update and ensure the evolution of the websites
 Manage and develop accounts on social networks (be a prior user of social networks)
 Ensure internal communication: service notes, organization of events, presentation of half-yearly reports
 Ensure respect for the image and the good conduct of the Group

Characteristics of the offer 

Type of Contract: Pre-employment internship

Working hours: 7:30 a.m./12 p.m. – 2 p.m./6 p.m.
Length of the assessment period: 3 months X2
Contract duration if confirmed: Permanent employment contract
