MISSIONS
Under the supervision of the HR Assistant / Deputy Coordo-RH / Coordo RH, the. the intern will be required to learn how to follow the general and specific administrative management of HR files as well as the filing and archiving of HR documents. Location of the internship. This internship is open to people with the required profile and residing exclusively in Yaoundé. The intern selected at the end of the recruitment process cannot therefore claim relocated status.
RESPONSIBILITIES
General Administrative Management
He.She will learn to:
- Receive, register and distribute incoming mail;
- Design and format outgoing mail;
- Update a Monthly HR Report;
- Follow up on legal obligations in the administrative management and human resources of the mission;
- Make and ensure the link between the association and the tax and government services;
- Prepare declarations for the attention of the tax services and ensure, in conjunction with the Internship Supervisor;
- Monitor residence permits of DMIs on the base.
- Ensure the archiving of all the administrative documents of the mission;
- Proactively informing oneself of any changes in the legal framework and informing their Internship Supervisor;

Administrative management of HR files
He.She will learn to:
- Ensure compliance with legal obligations in the management of national staff
- Create, update, follow, check the validity and archive the administrative files of the national staff of the sub-delegation, claim missing documents;
- Participate in the recruitment process with a view to respecting the gender aspect and the recruitment policy;
- Participate in briefings for new employees, inform national staff on the internal rules, salary policy and conditions of engagement;
- Develop and monitor national staff contracts in compliance with the laws and standards in force;
- Support the implementation of the national staff career evaluation and management process;
- Prepare and verify the process and payroll management of national coordination staff;
- Support the Internship Supervisor and department heads in the management of disciplinary measures in complete neutrality and confidentiality;
- Monitor changes in labor law and NGO practices, proactively inform yourself of any changes in social legislation and inform your superior;
- Formulate alerts to his superior on specific HR points;
- Carry out contacts and procedures requested from public and private bodies such as the CNPS, the Tax Department, the Universities, the National Employment Fund, etc.
- Ensure the management of occupational medicine in Yaoundé;
- Ensure that all employees are incorporated and withdrawn within the insurance deadlines and have supporting documents of the composition of their family for health insurance;
- Ensure the link with the insurance for the reimbursement files for the insurance;
- Produce the coordination payroll before transmission to its N+1;
- Participate in the preparation of the HR files necessary for audits and HR reports intended for local authorities;
- Manage the end of contracts in compliance with legal and organizational provisions;
Classification and archiving of HR documents
He.She will learn to:
- Update and maintain the HR database with personnel information;
- Produce, compile and verify monthly HR reports and organization charts before the 5th of month M+1 and send to their N+1 for transmission to coordination.
- Follow up on leave of national staff of the sub-delegation
- Update the list of employees for insurance and financial reports;
- Check the follow-up of the end dates of the employment contracts of all employees
- Check, compile and develop statistical HR management data for the mission;
- Participate in the development of the annual evaluation plan and the training plan and follow up
Participate in activities organized by the HR department
He/She will learn to:
- Compile employee requests and communicate them to their superiors;
- Assist his Internship Supervisor in internal communication on HR issues and conciliations with employees;
- Participate in general quarterly meetings with coordination employees;
- Provide technical support to the mission in setting up staff representation institutions;
- Participates in the organization of monthly meetings with staff representatives (if any);
- Organize, participate and/or lead communication/training sessions for the mission’s HR teams;
- Assist his Internship Supervisor in monitoring base activities, compiling data received from bases;
SKILLS
Diploma / Level of study:
- Diploma: Bac + 3 minimum
- Training: Human Resources, Management Sciences, Social Sciences or equivalent
- Experience (optional): minimum 6 months (internship or job)
