Background
Impact Santé Afrique (ISA) is an African non-profit organization based in Cameroon, whose
main objective is to contribute to the improvement of the health of populations by implementing transformative and sustainable programs (for more information, visit
www.impactsante.org ). Impact Santé Afrique is looking for a professional travel agency that can provide high-quality services in the provision of air tickets and related services for its national and international travel. The agency will provide services based on the needs previously communicated by Impact Santé Afrique (ISA) and must be able to provide these services within the agreed timeframe.

1. Purpose of the call for tender This call for tenders is for the supply of multiple round-trip air tickets for the itineraries specified below, taking into account that the meeting will take place from April 28 to 29, 2025 in ACCRA – GHANA. Tickets must meet the following requirements: o Domestic and international flight options; o Economy class with upgrade options available; o Refundable and modifiable tickets according to the Organization’s conditions, o Flexible ticketing for business travel (e.g., date changes, cancellations, upgrades); o Online booking platform or dedicated traveler helpdesk. 2. Interested travel agencies/companies must submit the following documents:
• A detailed proposal (pro-forma invoice) indicating:
o Possible prices for refundable and modifiable airline tickets.
o Booking, cancellation and modification conditions.

o Any additional services provided, such as travel assistance or
concierge services.
o Contact details for assistance.
• Proof of registration as a travel agency
• A copy of the agency’s terms and conditions
• References from previous corporate clients (optional but preferred).
• The proposal must be a firm proposal and free of errors or you will be
disqualified.
3. Evaluation Criteria
Offers will be evaluated based on the following criteria:
• Price and value for money: Competitive pricing. Presentation of individual amounts
and the total invoice amount • Experience and reputation: Reputation of the agency and proven experience in business travel
management . • Customer support: Provision of a hyperactive and available point of contact who can be reached through a telephone number and an email address that will be communicated in advance by the agency. The point of contact will be responsible for meeting the needs of passengers in case of unforeseen circumstances; • Flexibility and conditions: Flexibility in terms of rebooking, cancellation or upgrading of tickets, as well as clarity and fairness of the terms and conditions. • Additional benefits: Any additional services or benefits provided, such as VIP services, travel insurance or loyalty programs. 4. Terms and conditions • The selected agency will have to enter into a formal agreement with Impact Santé Afrique (ISA) for the provision of airline tickets; • Impact Santé Afrique (ISA) reserves the right to accept or reject any offer and to negotiate the terms with the selected bidder; • The call for tenders is open to all eligible companies, but preference will be given to those offering the best value for money and the best services; 5. Confidentiality of information All information provided by Impact Santé Afrique (ISA) in the context of this call for tenders

must be treated confidentially and are intended solely for the submission of a
proposal. Therefore, bidders must sign a confidentiality agreement related to
sensitive information during the submission process.
6. Award of the tender
The successful agency/firm will be notified no later than Wednesday, April 2, 2025 and must
begin providing its services upon receipt of notification on Thursday, April 3, 2025.
