Responsibilities

MISSION

Your main mission will be to assist the General Manager in all aspects related to his function in order to be more efficient in his daily management, to ensure the interface between all internal and external contacts with the General Manager. In this role, you will have to:

MAIN ACTIVITIES

Ensure administrative management

Prepare and draft all correspondence from the General Manager;

Welcome, inform and direct visitors;

Receive, record and sort incoming mail and forward essential files to the general manager;

Receive and filter telephone calls to be forwarded to the general manager;

Organize the schedule by making appointments;

Organize the travel and trips of the General Manager by making visa requests, hotel reservations, plane tickets and vehicle rental;

Carry out orders for equipment, supplies, consumables and check the conformity of deliveries;

Manage the stock made available;

Follow up on the files of which he or she is aware;

Ensure the daily maintenance of the general management premises.

Organize management meetings

Prepare the room for meeting meetings;

Summon the various participants by email or telephone;

Provide participants with the equipment necessary for holding the meeting;

Participate in certain meetings if possible;

Write up and make the minutes available to participants.

Ensure the management of incoming mail

Receive and record all incoming mail;

Sort and forward essential mail to the general manager;

Carry out mail archiving;

Classify the documents, information and documentary funds of an activity.

Manage internal communications for general management

Manage the interface with suppliers, customers and other institutions;

Manage the interface with the general manager’s collaborators.

Educational requirements

Bac +2/3: BTS or DUT Management Assistance, Secretariat (Business and Administration Management), law or economics degree, professional master’s degree

Experience requirements

5 years of experience in the role.

Additional requirements

CONSTRAINTS

  •  Regular hours, with the possibility of flexibility depending on service requirements;
  •  Compliance with obligations of discretion and confidentiality;
  •  Availability to the general manager.

Technical skills

  •  Master all communication and office automation media: telephone, Word, Excel, PowerPoint, Internet and e-mails;
  •  Mastery of IT tools (spreadsheet, payroll software);
  •  Master both written French and written and spoken English;
  •  General knowledge of administrative management and secretarial techniques;
  •  Good writing skills;
  •  Knowledge of document scanning techniques.
