Job Title Logistics and Administrative Coordinator
Reports to Finance Manager Location YAOUNDE
Role objective:
The Logistics and Administration Coordinator is responsible for overall management and maintaining a professional and well-organized environment. The coordinator will ensure that the office is properly furnished and equipped and that all technology systems are functioning properly at all times. He/she will work closely with the team to ensure the appropriate infrastructure is in place to support ongoing project operations.
Context of the ExpandPF activity and role:
ExpandPF (Expand Family Planning and Reproductive Health, funded by USAID) is a five-year activity that will be implemented in several countries in French-speaking West and Central Africa with the aim of to achieve FP2030 targets, focusing on youth and women in underserved urban and peri-urban areas. The activity is led by IPPF and is structured to enable local partners to identify solutions to obstacles and maximize levers for change by focusing on collaboration with national and regional stakeholders and by maximizing regional impact. The strategy supports the implementation of high-impact practices (HIPs) of family planning and self-care in selected countries with a view to influencing subnational, national and regional practices and policies for sustainable results. IPPF member associations will leverage the platforms for operations, service delivery and stakeholder engagement.
Expected Results/Essential Job Duties:
Ensure ExpandPF policies and procedures are followed by conferring with the Finance Manager and Country Manager as appropriate.
Manage schedule/calendar, arrange travel, set up internal administrative and logistics reporting systems.
Effectively handle logistical and administrative questions and requests, as appropriate.
Serve as the first direct point of contact and liaise with in-country staff regarding office administrative and accounting procedures with vendors and suppliers, including for events/logistics.
• Establish and maintain ExpandPF records and archives in accordance with ExpandPF and USAlD donor regulations and procedures.
Maintains accurate documentation for orders and receipts for payments.
Maintain an accurate inventory of equipment, furniture, software and accessories.
• Manage driver(s) and vehicle usage, including scheduling, safety and compliance rules.
Contribute to the reporting process and prepare data and instructions from the finance manager.

• Ensure office security by collaborating with the National Manager, ExpandPF security protocols and following security procedures, monitoring visitor log, visitation schedule, etc.
Reporting and Management Responsibility: N/A
Expertise:
• Experience in a similar position in administration and logistics.
• Demonstrated knowledge of office administrative procedures in a USAlD funded activity.
• Good understanding of programs funded by bilateral donors, co-located programs (multi-program office), particularly USAlD rules and regulations.
• Understanding of public procurement processes and best practices, systems and databases.
• In-depth knowledge of accounting software, systems, databases and spreadsheets.
• Experience working in matrix organizations and large, complex projects in multiple countries.
Skills:
• Excellent oral and written communication skills in English and French.
• Excellent organizational skills.
• Excellent time management skills and ability to meet tight deadlines.
• Proven ability to use Microsoft Office, databases, calendars, tracking tools, etc.

• Demonstrate an understanding of and commitment to safeguarding in a local and international context.

Composition of the File:
• Cover letter and CV addressed to the Executive Director of CAMNAFAW;
• Certified copy of the highest diploma dating less than 3 months and a copy of the other diplomas;
• For drivers, a Certified copy of the highest diploma, including a copy of the BEPC/CAP diploma, a copy of the valid driving license;
• Certified copy of the birth certificate less than 3 months old; Extract from the criminal record Bulletin no. 3 less than 3 months old;
• Photocopy of the CNI;
• 02 letters of recommendation; Evidence of experience.
Place of submission of files:
The complete, anonymous files bearing the mention “Application for the position of (position for which you are a candidate) CAMNAFAW” in a closed envelope in 4 copies including one original and 3 copies will be deposited at the secretariat of the Executive Directorate of CAMNAFAW located in Mballa Il, opposite Pharmacie CANA, behind Masque Hôtel no later than Tuesday February 27, 2024 at 4 p.m.
